About the position
We are seeking a proactive and highly organized Assistant to provide direct support to our CEO, with a primary focus on scheduling and managing meetings. This role is essential to ensuring the CEO’s time is effectively utilized, supporting strategic priorities, and maintaining seamless organizational communication.
What you will do

Calendar Management: Maintain and coordinate the CEO’s schedule, ensuring efficient time management
-
Meeting Coordination: Schedule internal and external meetings, including agenda preparation and follow-up
-
Communication Liaison: Act as the main point of contact for scheduling requests, ensuring clear and professional communication
-
Travel Arrangements: Organize travel itineraries when necessary, considering meeting commitments
-
Document Preparation: Prepare materials for meetings, including reports, presentations, and briefing documents
-
Task Prioritization: Identify scheduling conflicts and suggest resolutions to optimize the CEO’s availability

Confidentiality & Discretion: Handle sensitive information with the highest level of professionalism
What you will need

Bachelor's degree in business administration or a related field
-
Fluent written and verbal communication skills in Mandarin Chinese and English; working proficiency in German and/or additional relevant languages desirable

Strong proficiency in calendar management, scheduling software, and office productivity tools

Excellent organizational and time-management skills
-
Ability to anticipate needs and proactively address scheduling challenges

High level of discretion when handling confidential information

Flexibility to travel as needed
